JOB DESCRIPTIONFull Time Property Management AssistantOverview: Under the direction of the Operations Executive, this employee is responsible for the day-to-day care and maintenance of McFadden Plaza and will intermittently coordinate repairs, special projects, inspections or routine maintenance at other Rados Properties holdings. As necessary and as directed, the employee will contact outside service providers regarding repairs and maintenance and verify the completion of such projects. This employee maintains day-to-day first line contact with tenants regarding maintenance issues at McFadden Plaza and personally performs some routine maintenance chores. The employee will maintain adequate inventory of janitorial products and office materials for McFadden Plaza and Steve P. Rados, Inc. Additionally, the employee will assist other departments on both a scheduled and as needed basis.Skills and Abilities: The position requires (1) well developed interpersonal skills for dealing with tenants and vendors (2) basic handyman skills with the ability to use hand and power tools when called for (3) the ability to lift boxes of medium weight and to stoop and bend in the course of storing materials (4) the physical ability to climb ladders and knowledge of safe practices in their use (5) basic mathematical skills (6) a valid California Driver’s License and an acceptable driving record (7) a clean, neat and orderly appearance (8) a willingness to work irregular hours on occasion (9) competency in Word, outlook, Excel and other web applications (10) aptitude in cash handling, purchasing, and inventory management (11) skillful at prioritizing projects, managing time, and staying organized.Job Responsibilities: · Assume day-to-day responsibility for the management of two 2-story commercial office buildings and parking lot and landscaped surrounding property.· Conduct periodic inspections of the properties and tenant spaces to ensure compliance with leases and the proper upkeep of the properties. Inspect for hazards such as leaking toilet fixtures, loose carpet, doors that don’t close all the way, dusty blinds and other maintenance issues and as appropriate either repair personally, contact an outside service provider, contact the janitorial crew, or report to supervisor.· Coordinate repairs and general upkeep of McFadden Plaza with service providers on a regular basis. e.g. HVAC, landscapers, electricians, plumbers, painters, etc. Solicit quotes when appropriate to preserve the highest quality of service with the most competitive prices.· Oversee all repairs, maintenance, and special projects at McFadden Plaza and other Rados Properties holdings from start through completion.· Generate and track service repair orders, approvals and distribution.· Coordinate contractor activity.· Provide excellent tenant service.· Personally perform basic maintenance such as minor plumbing repairs, changing lights, door adjustments, HVAC adjustments, etc.· On a weekly basis, inspect lighting fixtures in all occupied space at McFadden plaza and replace lights as necessary. Report to supervisor any lighting fixtures that require replacement.· File A/P documents for approximately one hour per day. Annually, box up old A/P files and set up new files for the coming year.· Run banking errands as needed.· Attend pre-bid meetings as needed.· Manage day-to-day tenant requests such as problems involving HVAC repair and maintenance, roof and window leaks, plumbing emergencies, electrical outages, security disturbances, and typical tenant requests such as light bulb replacement and janitorial needs.· Oversee special projects such as parking lot asphalt work, roofing projects, window washing, etc.· Personally assist executives, accounting and engineering departments as needed.· Drive executives on an as needed basis.· Create spreadsheets and financial reports as requested by supervisors.· Coordinate repairs, weed abatement, trash removal from other vacant properties.· Travel outside of Orange County to coordinate inspections, special projects and routine maintenance at other Rados Properties holdings when needed.· Detailed verification of all invoice amounts and information with approved Service Orders or Contracts.· Assist corporate accounting with questions related to the properties and resolution of vendor issues.· Utilize highly effective communication and interpersonal skills for building important relationships with guests, employees, and tenants.· Prepare and maintain appropriate files, records, correspondence and file notes· Develop and implement new ways to meet business needs, improve processes, and work more efficiently.· Maintain office supplies, break room supplies, and janitorial supply levels for the McFadden buildings.· Research construction yards and office space availability and pricing when needed by the estimating department.· Assist in collecting proper insurance documents from new vendors and contractors.· Once a week, inspect parking lots for any safety or security issues or maintenance issues, and remove and dispose of any trash or debris.· Occasionally coordinate with outside towing vendors, security companies and/ or police department to eliminate illegal parking, trespassing, or other unlawful activities.· Weekly inspect landscaping for evidence of over or under watering and for dead or dying plants. Contact landscape contractor as necessary.· On a weekly basis, monitor the inventory of janitorial and office supplies for the buildings of McFadden Plaza and for Steve P. Rados, Inc and solicit quotes for supplies that are running low, and order supplies upon supervisor’s approval.
