Coordinator, Trauma Regional Education Programs – Bilingual (Spanish/English)

Description

Provide administrative support and program guidance to site coordinators, course directors and faculty at trauma education sites around the world. Committee on Trauma education programs include, but are not limited to: ATLS, DMEP, ASSET, ATOM, BEST, RTTDC and TEAM programs. Coordinate education program activities including: order processing, technical assistance, post course reports, course promulgations, and guidance on policies and procedures for all trauma education courses. Serve in bilingual capacity for direct support to the Latin American region. This exempt position will report to the Manager, Trauma Education Program Operations in the Division of Research and Optimal Patient Care. Primary Responsibilities:

  • Administrative Support: Manage the administrative aspects of educational programs within assigned regions. Facilitate course promulgation following established guidelines. Provide consultation and support to regions for the management of their faculty and education efforts. Communicate regular updates on promulgations and other education activities and issue status to Program and Operations Managers to ensure adherence to stated objectives, policies and timelines.
  • Policy and Strategic Oversight: Provide guidance to education site coordinators on policies and procedures for running trauma education courses and ensure the post course reports are completed properly. Oversee student and faculty re-verification for all trauma education courses.
  • Customer Service & Committee Support: Provide technical assistance to on site coordinators and implement troubleshooting measures to resolve technical issues that may arise during the management of the attendee or course data input. Coordinate details including invoicing and receivables, distribution of materials, etc. Serve as the bilingual support to all educational programs, with primary support to the Latin American region, or any other areas requiring translation to/from the Spanish language.
  • Quality Operations & Program Development: Support the Program Managers, Trauma Education, in day-to-day operational aspects of the Trauma Education Program. Communicate standard operating procedures and guidelines to trauma site coordinators to ensure quality customer support, and CME compliance. Determine areas of noncompliance or inefficiency and help implement solutions for addressing those gaps within deficient course sites.
  • Data Management & Reporting: Assist with all aspects of education program data management, maintenance and facility/attendee records; collate and develop quarterly reports on region activities. Compile and share data reports as scheduled.
  • Other Expectations: Contribute enthusiastically to an environment of continual performance improvement, team collaboration and service to improve care of the injured patient, executed in accordance with the ACS values. Seek and promote areas of integration and alignment within Trauma Programs and across ACS activities. Pursue and welcome opportunities for evolution of responsibilities and growth in position. Create and maintain written organizational processes and procedures in support of all projects and activities handled in this program area.
  • Other duties as assigned.
  • Bachelor’s degree from an accredited college or university is required.
  • Minimum of 2 years of professional work experience in a similar role or related field is preferred.
  • Must be fluent in both Spanish and English (speaking, reading, and writing).
  • Must be adept at using Microsoft Office programs (Outlook, Word, Excel, and PowerPoint), and have the ability to quickly learn other software.
  • Basic level experience with accounting software (such as QuickBooks) is a plus.
  • Excellent communication skills (verbal and written) necessary to effectively interact with all levels of organization.
  • Capable of providing excellent customer service.
  • Attention to detail and organizational skills.
  • Must be able to multi-task.
  • Display high level of energy and thrive in a fast-paced environment.
  • Self-motivated and able to work independently and as a member of a team.
  • Ability to plan and prioritize workload and meet deadlines.
  • Ability to establish strong working relationships with all division teams and management.
  • Experience in Associations, professional services, healthcare, and/or education is a plus.
  • Physical/Work Environment: Fast paced with significant people interaction. No lifting over 20 pounds, minimal reaching bending and stooping. Performs work in a normal office environment with long hours in front of the computer. Other Necessary Requirements: Evening or weekend duties may be required. Moderate travel for activities such as out of town meetings is required.
