The Administrative Assistant provides direct administrative support to two faculty within the Department of Stem Cell Transplantation and Cellular Therapy. The individual will have exceptional organizational and time management skills to ensure assigned tasks and functions are completed. This position requires a large degree of independence in planning, organizing, prioritizing workload and activities for the assigned faculty. The position is accountable for multiple department wide functions including, but not limited to Kronos, inventory, onboarding of faculty and staff, provider credentialing, operating room scheduling, attending rotation schedule, office moves and facility issues, communications to department and program wide faculty and staff, meeting scheduling, meeting correspondence and daily issues that arise in the normal course of business. Position requires the ability to multi-task and rapidly adapt to changing priorities and projects.
Concur maintains with accuracy and timely submission of faculty travel requests and expense reports.
Provides administrative support to faculty members, including. Provides backup coverage in the absence of Office Manager. In addition to scheduling facuty meetings, employee is responsible for the coordination of the weekly departmental meeting. Responsible for creating and posting Apheresis on call schedule. Composes formal and informal correspondence through email or written memorandums, creates and formats presentations (both timely and accurately) utilizing the most current available software for such.
Assists with manuscript and abstract submissions to major journals. Requires knowledge of the research medical library, as well as End Notes and PubMed. Composes formal and informal correspondence through email or written memorandums . Creates and formats presentations both timely and accurately utilizing the most current available software. maintains faculty CV and biosketches; assigns PMCIDs for grant funded articles. Maintains complaince with NIH public Access Policy for facutly publication.
Review and reconciles assigned faculty PRS development accounts
Maintains updated licensures for assigned faculty members and assists with credentialing amd promotion.
Other duties as assigned
EDUCATION Required: High school diploma or equivalent. Preferred: Bachelor's Level Degree
EXPERIENCE Required: Four years secretarial experience including advanced secretarial duties.
OTHER Required: Must pass pre-employment skills test as required and administered by Human Resources.
